Customer funds must go to Qubimyst through an approved channel
The standard method is an official payment URL generated through the Qubimyst Partner Portal after a lead has been verified and converted. Partners must not receive, hold, route, or control customer funds unless Qubimyst has expressly authorized a specific arrangement in writing and applicable law permits it.
1Scope and purpose
This policy applies to partners, prospective partners acting on a Qubimyst opportunity, and people using a partner account or acting for a partner. It covers full, advance, milestone, partial, recurring (where enabled), and other customer payments, plus payment-related communications using Qubimyst’s name or customer relationship.
The policy aims to protect customers, prevent diversion and fraud, maintain accounting and GST records, preserve an audit trail, and calculate commission from verified receipts.
2Authorized payment workflow
- The partner signs in to the official Partner Portal using their own credentials and registers the lead under the Lead Registration & Client Ownership Policy.
- After Qubimyst reviews and converts an eligible opportunity, payment collection may be enabled. The partner may then generate an official Qubimyst payment URL through the Portal.
- Enter only an amount required or permitted by the approved quotation, order, invoice, milestone, or other commercial terms. Approved partial payments may be used when permitted.
- Share the official URL and accurate payment instructions. The customer pays through the approved gateway; funds settle to Qubimyst’s designated merchant/payment account, and Qubimyst verifies and records the receipt.
3Payment-link requirements
- Each link must correspond to a genuine Qubimyst transaction and be used only for its intended purpose and approved amount.
- Do not manipulate descriptions, customer details, or references; generate links for fictitious customers, personal purchases, test transactions, unauthorized discounts, or unrelated transactions; or reuse a URL if it could cause an incorrect or duplicate collection.
- Use the official URL or transaction reference. Do not modify the destination, gateway configuration, merchant identity, settlement account, or technical parameters.
4Partial payments and milestones
Qubimyst may permit advances, partial payments, milestone payments, or other staged payments when each is tied to a legitimate commercial arrangement. Communicate the total approved value accurately and keep each payment traceable to the customer and relevant opportunity, quotation, order, invoice, milestone, or payment reference.
Do not describe a partial payment as full and final unless Qubimyst approves that statement. An initial payment does not by itself mean the project is fully paid or that all deliverables are immediately due. Do not split payments artificially to evade approval, accounting, commission, tax, or transaction controls.
5Prohibited collection methods and no-cash rule
- Do not collect cash, or use a personal UPI ID/QR, bank account, wallet, card terminal, payment account, or partner-owned payment-gateway account.
- Do not use an account belonging to a relative, friend, employee, associate, or unrelated business, or a third-party link not generated or approved by Qubimyst.
- Never receive customer funds and promise to forward them, use one customer’s payment for another obligation, or bypass Qubimyst controls.
- The standard program does not authorize partner cash collection. Direct a customer offering cash to the official payment method or to Qubimyst for an approved alternative. Do not issue an informal receipt suggesting Qubimyst received cash.
6Customer communication and commercial terms
- Identify the payment as relating to the relevant Qubimyst product, service, or project. Do not imply that the partner is personally collecting funds for Qubimyst.
- Represent refunds, finality, tax treatment, discounts, delivery, activation, or other terms only as supported by approved commercial documents; link generation alone does not promise delivery or benefits.
- Use only approved or published prices, offers, taxes, schedules, and terms. Do not create an unauthorized discount, collect more than the approved amount, or change a payment schedule without required approval.
- Do not pressure, threaten, mislead, or deceive a customer. If they question a payment request, direct them to verify it through official Qubimyst contact channels.
7GST, invoices, and merchant account
- Do not independently set or alter Qubimyst’s GST treatment, tax rate, taxable value, invoice number, or statutory description. Do not edit, forge, recreate, or issue Qubimyst invoices.
- Do not claim authority to collect GST for Qubimyst unless expressly documented and legally permitted. Use the designated process for Qubimyst invoices and tax documents.
- The approved merchant account is controlled by Qubimyst or its authorized account holder. Portal access to generate links does not grant gateway access. Do not request or use gateway credentials, change settings, settlement accounts or webhooks, or access the gateway without separate express authorization.
8Payment confirmation and failed payments
A customer’s statement or screenshot alone does not establish receipt. Verify status through the official Qubimyst system or authorized gateway/accounting record. Do not represent pending, failed, reversed, refunded, disputed, or under-review transactions as settled.
Report duplicate payments, incorrect amounts, suspicious transactions, and discrepancies promptly. For failed, pending, reversed, or duplicate payments, use the official support/payment process and authorized replacement-link workflow; do not collect through a personal alternative.
9Refunds, cancellations, and disputes
Partners cannot independently approve refunds, cancellations, chargeback settlements, or reversals. Submit refund requests through Qubimyst’s process; do not return customer funds from a personal account or promise a refund date or amount without authorization.
Escalate payment complaints through the designated support/management process and preserve relevant communications and references. Do not admit liability, make binding settlement commitments, or threaten legal action for Qubimyst without authorization.
10Records, commission, and audit
Keep material payment communications and transaction details in Qubimyst-designated systems or channels, including lead/customer identifiers, relevant quotation/order/invoice, requested amount, link/reference, and issues or disputes. Qubimyst may reconcile Portal, gateway, invoice, customer, and commission records; partners must reasonably cooperate.
Commission follows the Partner Agreement and applicable commission rules. A generated link is not proof of a commissionable receipt. Eligibility can depend on verified payment, lead attribution, taxes, refunds/reversals, gateway status, and other program conditions. Artificial transactions or splits to increase incentives are prohibited.
11Fraud, account security, and customer data
- Immediately report suspected fraud, impersonation, diversion, unauthorized requests, forged documents, suspicious instructions, compromised credentials, or payment-link misuse. Preserve relevant evidence; do not conceal errors or proceed with a suspicious transaction.
- Partner credentials are personal. Do not share them or let another person generate links through your account unless expressly authorized. Log out on shared devices and report compromise promptly.
- Handle customer information only for legitimate Qubimyst business under the Partner Agreement, NDA, Data Protection Policy, and Qubimyst instructions. Do not collect or store payment credentials or share customer information with unrelated third parties.
12Violations and enforcement
A violation may breach the Partner Agreement or Code of Conduct. Subject to the facts, agreement, and law, Qubimyst may request correction or documentation; review or withhold a disputed commission pending verification; restrict payment-link or Portal functions; suspend or terminate the relationship; require customer remediation or repayment where appropriate; report suspected unlawful conduct; or pursue available remedies.
13Related documents and review
This policy supplements the Partner Agreement, NDA, Code of Conduct, Commission & Payout Policy, Lead Registration & Client Ownership Policy, and Data Protection Policy. The Partner Agreement and applicable law control where required.
The source document describes itself as a business-policy draft and calls for Indian legal, tax, and other professional review before final adoption, particularly for GST, TDS, payment-gateway arrangements, consumer protection, data protection, and dispute resolution. Partners acknowledge that payment-link access does not provide ownership or control of Qubimyst’s merchant account.
